This employee should be empowered to make decisions and the planner should be able to reach this employee at all times. This will prevent delays and the planner can rest assured that all the arrangements are in hand.

It is definitely not a good idea to try and organize an important function in house. Few employees will have the contacts that are necessary to ensure that every aspect of the function is executed successfully. There is also a great danger that important details such as adequate parking, security for important guests and arrangements for guests with special needs will be forgotten and that the budget will be exceeded or poorly allocated.

Businesses do not fork out large amounts of money on functions purely for the fun of it. They do it as an investment in achieving their marketing objectives. It is therefore very important to make sure that the funds are well spent and that the function is organized professionally.
